The Opportunity

The Legal Executive Assistant (LEA) serves as a high-level strategic partner to attorneys, managing the daily functions of their practice so they can focus on client development. This role is more than administrative; you will act as a trusted business partner, creating vital connections and delivering critical information to ensure the practice meets its priorities. Operating in a professional and positive manner, the LEA is essential to the smooth operation of the firm’s practice areas. This is a contract-to-hire opportunity (3-6 months temp-to-perm).

Located in the Palo Alto office, this role supports a fast-paced legal environment. The position offers a hybrid work schedule, blending the collaboration of in-office presence with the flexibility of remote work as coordinated with firm leadership

What You Will Do

  • Practice Management: Manage attorney projects and milestones, ensuring all tasks are completed efficiently and deadlines are met.
  • Liaison & Communication: Serve as a key point of contact between attorneys, clients, and internal departments, relaying accurate messages and handling inquiries.
  • Team Leadership: Delegate assignments to support teams (LSAs and AskLegalSupport) and provide mentorship and professional development feedback to junior staff.
  • Document Production: Draft, proofread, and finalize legal documents, correspondence, and presentations with high attention to detail.
  • Administrative Oversight: Manage complex calendars and travel itineraries, oversee billing processes/prebills, and organize electronic filing systems.
  • Meeting Coordination: Oversee logistical planning for meetings, prepare agendas, and manage follow-up requests.

Who You Are

  • Experienced Professional: You have at least 5 years of administrative experience in a corporate or legal environment supporting upper-level leadership.
  • Educationally Grounded: You hold a High School Diploma or GED (required), while a Bachelor’s degree in legal studies or business administration is preferred.
  • Tech-Savvy: You are an expert in Microsoft Office (Word, PowerPoint, Excel) and adept at using AI-powered tools, case management software, and virtual collaboration tools like Zoom and Teams.
  • A Discretion Expert: You possess the utmost professionalism and integrity when handling confidential information and sensitive legal matters.

Flexibility & Work-Life Integration 

The firm supports a hybrid work arrangement, allowing for a balance of remote and in-office work. This role is non-exempt, meaning it is paid on an hourly basis with overtime eligibility in accordance with applicable laws..
