The Opportunity

This role as a Legal Administrative Assistant (Corporate) is essential in ensuring the smooth operation of the firm’s administrative functions. You will provide a wide range of administrative and clerical support to attorneys and legal teams. This is an exciting opportunity to take ownership of impactful projects that require high-level technical skills utilizing Microsoft Office programs and various types of legal software commonly seen in law firms. You will collaborate regularly with Legal Support Assistants, Legal Executive Assistants, and attorneys to ensure all work is properly allocated and completed on time. Additionally, this is a contract-to-permanent position, making it a fantastic way to get your foot in the door and prove your value. The target pay rate for this role is $37.49 to $48.75 per hour.

The Location

This position is open to our client's Los Angeles office.

What You Will Do

  • Provide practice-specific support to multiple associates, partners, and other attorneys, leveraging your knowledge about unique practice tasks and functions to prioritize work accordingly.
  • Draft, edit, and proofread legal documents, communications, files, or presentations to ensure complete accuracy.
  • Oversee the maintenance and organization of electronic and paper filing systems within the firm’s DMS/repositories.
  • Organize and monitor assignments within the firm’s workflow tool, ensuring that administrative tasks—including time entry and expense reimbursements—are properly allocated and completed on time.
  • Oversee billing matters, including all approval forms and collaboration correspondence, ensuring prebills are processed accurately and timely.
  • Serve as a proxy for attorneys to address questions or issues related to the billing process, ensure final bills are delivered in a timely manner, and initiate follow-up at the attorney’s request.
  • Handle confidential or sensitive matters using discretion while promoting professionalism in all interactions.
  • Provide mentorship, guidance, and delegation to Legal Support Assistants who assist with projects.

Who You Are

  • You have a minimum of 2 years of experience working in a legal setting under the supervision of a licensed attorney or office administrator, or within a professional services environment.
  • You have dedicated transactions and corporate experience.
  • You possess a High School diploma or GED , though a 4-year Bachelor's degree in legal studies, business administration, or a related field is preferred.
  • You have prior experience working with Microsoft Office products or legal software such as iManage, Aderant, DocXTools, or Innova.
  • You have the ability to adapt to application upgrades and the use of AI-Powered Tools for document production, review, and case research.
  • You have a general familiarity with legal terminology, documentation, and best practices for law firms or similar settings.
  • You exhibit strong attention to detail and excellent problem-solving skills that enable you to make quick decisions.
The Ideal Candidate is someone who is highly flexible and willing to work in a fast-paced environment where multiple projects must be prioritized simultaneously for the firm’s attorneys. You take the initiative to enhance your existing skills and eagerly learn new ones, readily adapting to the evolving needs of the attorney’s practice. Furthermore, you work exceptionally well under pressure, staying positive and productive, while remaining open to receiving constructive feedback from attorneys and managers. Ultimately, the ideal candidate serves as a trusted advisor to associates, partners, and other attorneys.

Flexibility & Work-Life Integration 

  • This role requires a regular in-office presence, with some flexibility to work from home upon approval.
  • To ensure proper onboarding, the schedule requires working onsite 5 days a week for the first 60 days.
  • Thereafter, the role transitions to a hybrid schedule requiring 3 days onsite per week.
  • The standard working hours are Monday through Friday, 9:00 AM to 5:30 PM PST.
