Accounting Administrator

  • Tampa, FL

The Opportunity
Our client is seeking a hands-on accounting professional to take ownership of day-to-day financial operations and support the continued growth of its commercial HVAC service business. This is an opportunity to join an organization where your work will have a direct impact on business performance, financial visibility, and operational efficiency. Working closely with company leadership, you’ll manage core accounting activities, support payroll and employee administration, and help improve the processes and systems that keep the business running smoothly.

About the Company

Our client is a commercial HVAC service provider serving customers throughout Central Florida. The company offers a hands-on environment where individual contributions have a direct impact, with an emphasis on accountability, operational efficiency, and supporting continued growth.

Location

This position is based in the Tampa Bay Area, with the office/warehouse location likely to be in the Brandon/Valrico area. The role is expected to begin remotely while the company establishes its new facility, then transition to a hybrid arrangement

What You Will Do

  • Own day-to-day bookkeeping and accounting activities, including accounts payable, vendor payments, expense coding, and bank and credit-card reconciliations.
  • Maintain accurate financial records and oversee the flow of operational and job-related information between ServiceTitan and Sage Intacct, investigating discrepancies and resolving issues as they arise.
  • Support monthly financial close, year-end bookkeeping, and financial reporting to provide company leadership with reliable insight into business performance.
  • Coordinate payroll processing and verify the accuracy of employee pay and related records.
  • Assist with employee onboarding and offboarding, background-check coordination, personnel documentation, and confidential employee records.
  • Help coordinate company vehicle maintenance, repairs, registrations, insurance documentation, and related expenses.
  • Partner with leadership and operational team members to identify opportunities to streamline workflows, improve reporting, and reduce unnecessary manual processes.
  • Provide practical administrative support as needed in a lean, collaborative business environment.

Who You Are

  • You bring a minimum of 5 years of relevant accounting or bookkeeping experience, with the ability to independently manage core accounting responsibilities.
  • You have a strong foundation in accounts payable, reconciliations, general ledger maintenance, and month-end close.
  • You are organized, detail-oriented, and comfortable taking ownership of tasks from start to finish.
  • You are technologically comfortable and willing to learn new systems. Experience with Sage Intacct, ServiceTitan, or similar platforms is helpful but not required.
  • You can investigate discrepancies, solve problems independently, and recognize opportunities to make processes more efficient.
  • You communicate well with different personalities and are comfortable working with both office-based colleagues and field employees.
  • You are adaptable and willing to balance accounting with payroll, employee administration, fleet coordination, and other business needs.
  • You exercise sound judgment and discretion when handling sensitive financial and employee information.
The ideal candidate is a resourceful, self-directed accounting professional who takes pride in accuracy and follow-through. You enjoy understanding how a business works, finding practical solutions, and improving processes thoughtfully. Industry experience can be helpful, but strong accounting fundamentals and the ability to learn the business are most important.

Education & Qualifications

Associate degree or coursework in Accounting, Finance, or Business Administration preferred; equivalent hands-on experience and professional bookkeeping certifications accepted.

Flexibility & Work-Life Integration

  • Work Structure: Full-time permanent position with remote-to-hybrid structure during initial office setup.
  • Schedule: Standard Monday through Friday business schedule offering consistency and work-life balance.
  • Environment: Agile, collaborative commercial service setting working closely with executive leadership and operational staff.

Why Join the Team?

This opportunity offers direct visibility, functional autonomy, and a clear path to impact a scaling business. You will collaborate directly with executive ownership in an environment where your process improvements directly drive organizational success.
